Refund Policy

This Refund Policy ("Policy") explains how and when clients may request a refund for service payments processed through the Fitvia platform, web applications, and integrated checkout (collectively, the "Platform") operated by Fitvia LLC ("Fitvia," "we," "us," or "our"). This Policy forms part of, and should be read together with, our Terms of Service. By making a purchase through the Platform you agree to the terms set out below.

1. 7-Day Refund Window

1.1 Eligibility: Clients may request a full refund of their service payment within seven (7) calendar days of the purchase, counted from the date the transaction is confirmed by the integrated payment gateway.

1.2 Scope: This refund applies to the amount paid by the client to the professional for the contracted service. Requests submitted after the 7-day window has elapsed are not eligible for a refund under this Policy, except where required by applicable law.

2. How to Request a Refund

To request a refund within the eligible window, contact Fitvia support through the Contact page or by emailing legal@fitvia.me with the email used at checkout, the transaction date, and the professional or service involved.

2.1 Review: We review each request to confirm it falls within the 7-day window and meets the conditions of this Policy before authorizing the refund.

3. Processing Fees

3.1 Non-Refundable Fees: Fitvia does not charge a per-transaction or percentage-based platform fee on client service payments. Any third-party gateway processing fees (e.g., Stripe processing fees) applied to a transaction are non-refundable, consistent with our Terms of Service. A refund covers the eligible service amount only, net of any non-refundable gateway processing fees.

4. Fitvia Subscription Fees

The 7-day refund window described above applies to client service payments. Subscription fees paid by professionals and businesses for access to the Platform are governed separately:

4.1 Billing and Cancellation: Subscription fees are billed in advance for each billing cycle and renew automatically until cancelled. You may cancel your subscription at any time; cancellation stops future renewals, and your plan remains active until the end of the current paid billing period.

4.2 Non-Refundable Subscription: Subscription fees are generally non-refundable. Fitvia does not provide prorated or partial refunds for the unused portion of a billing period, except where required by applicable law.

5. Processing Time and Method

Approved refunds are issued to the original payment method used at checkout. Once authorized, refunds are typically processed within 5-10 business days, depending on the payment provider and your bank or card issuer.

6. Exclusions

The following are not eligible for a refund under this Policy:

  • Requests submitted after the 7-day refund window has elapsed.
  • Services that have already been substantially delivered, consumed, or completed.
  • Payments settled outside Fitvia's integrated checkout (external links, cash, or third-party apps), for which Fitvia is not responsible.
  • The non-refundable gateway processing fees described in Section 3.
  • Subscription fees, which are governed by the non-refundable terms in Section 4.
